Pacific Coast Retreats Vacation Property Policies
The following rental policies have evolved over a number of years of managing and owning vacation rentals in Tofino, in response to rental issues and for smooth and efficient operation. Ultimately our rental policies are in place to ensure what we hope to be a harmonious balance between you our valued guests, our neighbors and the community of Tofino.
Check–in: is between 4 pm – 9 pm. Detailed instructions will by emailed.
Check-out: no later than 11 am
We accept Visa, MasterCard, certified cheque or Money Order in Canadian funds.
At the time of booking a 50% deposit is required and a non refundable 5% booking fee will be charged to your credit card. Balance payments will be processed 30 days prior to arrival. Reservations made less than 30 days prior to your arrival date, the full rental amount is processed. Payments made by check or money order in Canadian funds must be received and paid in full 30 days prior to arrival. Reservations are non-transferable. Please note Pacific Coast Retreats reserves the right to pre-authorize your credit card 24 hours prior to arrival. Non-valid credit cards will result in automatic cancellation of the reservation.
There is a 30 day cancellation policy. If you cancel with 30 day notice or more your deposit less $50 cancellation fee and non refundable booking fee will be refunded. Cancellations made less than 30 days prior to your arrival date forfeits the entire accommodation cost less damage/security deposit.
* Note: A 60 day cancellation policy is in effect for Cedar Shack during July and August weekly rental period and during Holiday Season December 23 – January 1. Reservations are non-transferable.
There is no housekeeping service during your stay. Full housekeeping is provided upon departure, however we do ask that the dishwasher is loaded, turned on and kitchen left tidy. Please dispose of garbage before you check out. For cabin without dishwashers, please ensure dishes are thoroughly washed and put away before you check out. Please recycle! Recycling Bins are provided.
Bed & Bath Linens
Our cabins are fully equipped with high quality bed linens and bath towels, hand towels, facecloths, tub/shower mats and beach towels.
Most our cabins have full kitchens, all are equipped with propane BBQ, propane is provided, also dishtowels, dishcloths. Complimentary dish soap, dishwasher detergent, laundry detergent, paper towels, coffee, tea, sugar, salt/pepper, spices.
We provide towels, complimentary shampoo and/or conditioner, soap, and toilet paper and hair dryer.
1 parking space is reserved per cabin. Parking is for registered guests only.
We have a No Pet Policy at PCR Property for Beach Cottage, Cedar Shack and Surf Shack. If you bring a Pet, Pacific Coast Retreats reserves the right to cancel your reservation and the cost of the accommodation will be forfeited.
Weddings, Events and Groups
Our property is located in a quiet residential neighborhood. We do not allow our cottages to be rented together to one large group or to be used as a venue for events such as weddings, receptions, reunions or as gathering place. No exceptions.
Specials and one-night stays are not refundable and non-transferable
Renters must be at least 25 years of age or reservations may be cancelled without a refund.
Accommodations that come equipped with hot tub or sauna, you agree to read our Hot Tub/Sauna Rules and Guide at your Cabin amenity binder. You agree to read and abide by these rules provided at the accommodation. The hot tub is checked on your arrival day and your departure day. If for any reason the hot tub is required to be drained on your departure day due to miss-use, or whereby we feel the cleanliness of the hot tub is not up to standard for its next check-in, you will be charged $175.00 plus 5% GST to drain, clean and refill the hot tub. Further, you are financially responsible for any damage to the hot tub, hot tub cover including repair and/or damaged or missing parts due to misuse as set out in the Hot Tub Rules and Guide.
Damage and Excessive Wear and Tear
The person making and paying for the accommodation is financially responsible for the cost of repairs arising from any damage beyond normal wear and tear including but not limited to carpet/floor stains, interior wall damage, appliance repairs arising from improper use, window and window covering damage, permanent linen stains, dry cleaning costs associated with stains, breakage, theft, and any other damage noted on departure incurred, sustained or brought by any person occupying or using the accommodation.
If additional housekeeping is required above and beyond the normal time allotted for each accommodation you will be charged at an hourly rate of $30 per person + 5% GST for each additional hour of housekeeping required. To avoid excessive cleaning fees please ensure that:
Dishwasher is loaded and turned on any remaining dishes are thoroughly washed, dried and put away your garbage is disposed of and you’re recycling is organized (instructions are at your cabin binder).
Inclement Weather and Power Outages
We do not offer refunds or transfer dates due to power outages or inclement weather.
Only the number of guests including children, listed in your reservation are permitted on the property and may stay overnight. You were advised as to the maximum number of guests permitted at the accommodation and as indicated on our website. If you arrive with more guests than indicated at time of your reservation or have more than the permitted number of guests at the accommodation at any time during your stay, Pacific Coast Retreats reserves the right to cancel your reservation immediately and the entire cost of your accommodation rental will be forfeited. Tents, campers or trailers are not permitted on the property.
Lost and Found
Pacific Coast Retreats can no be held liable for items lost or left behind. Items left behind will be kept for 14 days. If requested, lost and found items will be returned for a min charge of $25.00
For your health and enjoyment, all our cottages are strictly non-smoking. You may smoke outside the accommodation but are responsible for properly disposing of your cigarette butts. A $300 plus 5% GST cleaning fee will be charged to your credit card if it has been found there was smoking inside the accommodation.
Late Departure Charge
Check-out time is no later than 11:00 prompt. Unscheduled late check outs will be charged a minimum of $20 plus 5% GST for every hour or portion thereof beyond the stated check out time.
Tofino’s noise bylaw requires you to keep quiet time between the hours of 10pm and 8 am. PCR has ZERO tolerance for noise. Please respect these requirements. If we receive a noise complaint, PCR reserves the right to charge a $300 fine plus 5% GST and you will be notified to vacate the property immediately without a refund. This policy is strictly enforced. Please be respectful.
Events Beyond Our Control
Pacific Coast Retreats is not liable for events beyond our control, which may interfere with the occupancy of the rental property, including but not limited to loss of the property by fire, flood, earthquake, tsunami, or other damage, changes of ownership, termination of management services, changes in the law, or seizure or other loss of the property. Beyond a refund of all payments made, Pacific Coast Retreats assumes no responsibility or liability arising out of the property not being available or suitable. We assume no responsibility or liability for injury, loss or damage arising out of the use or occupation of the property
All rates are subject to 5% GST, 8% HST and 3% Municipal tax. Rates are in Canadian funds and are subject to change without notice.
Acceptance of Rental Terms
By booking our accommodations provided by PCR you are acknowledging that you have read, understood and accept our rental policies and that you agree to pay the accommodation costs and any associated fees, and you agree to the limitation of PCR liability.
